Executive Assistant

Responsibilities
- Demonstrate accuracy and thoroughness and monitors own work to ensure quality
- Ability to multi-task effectively
- Ability to utilize a variety of automated legal research tools and public information databases (knowledge of LexisNexis, Law360, Pacer and/or Courtlink is a plus)
- Extensive calendar management
- Arrange travel, prepares itineraries and handle business travel
- Reconcile and prepare expense reports
- Track billable hours and invoices
- Extensive work with Salesforce, BillQuick, PowerPoint, and Microsoft suite of products
- Serve as legal assistant on litigation matters, duties include:
- Document procurement from online databases and repositories
- Index documents received
- Assist with report preparation and document production
- Assist in deposition and trial preparation
- Support overall recruiting strategy
- Consult with managers regarding campus recruiting initiatives and events
- Serve as the point of contact for booking dates, travel, and itineraries
- Write and post job descriptions on universities boards and social media platforms
- Input and update candidate profiles in database
- Evaluate and screen resumes and cover letters
- Provide high level of engagement throughout the recruiting process
- Use recruiting tools like case studies to assess candidates’ skills
- Conduct phone, and/virtual or in-person interviews
- Work with qualified candidates to coordinate interviews with hiring managers
- Assist the hiring team with recruiting methods and interview questions
- Contact new employees and prepare onboarding sessions
- Prepare new hire paperwork ensuring legislation requirements are met
- Maintain a complete record of interviews and new hires
- Assist with employee engagement and retention efforts
- Conduct surveys and plan company events & outings
Requirements and skills
- Proven work experience in administrative, recruiting, or human resources support
- Excellent communication, organizational, and time management skills
- Ability to prioritize and complete projects within deadline
- Solid knowledge of HR policies and best practices
- Hands on experience with various selection processes like interviews and background checks
- Ability to engage and provide a high level of customer service
- Familiarity with HR databases, social media, LinkedIn, ATS and candidate management systems
- BSC degree in Human Resources Management, Organizational Psychology, or relevant field
